How to Configure Shopify Sync Management Settings

Sync Management controls how the Wonder Shopify Connector handles product tags, collections, and inventory in your Shopify store. These settings decide what the connector is allowed to create, change, and delete.

⚠️ Saving changes on this page starts a sync. Every time you click Save Changes, the connector re-synchronizes your products with Shopify using the new settings. Some options replace existing data in your store. Read the option descriptions before you save.


Where to find Sync Management

  1. Click Devices in the top navigation.

  2. Open your Shopify connector. It is usually named Shopify Connector and its status shows Ready. If the list is long, type in the Name filter to narrow it.

  3. Select Sync Management in the left menu.

Product Tag Management

Tags are labels attached to products. Shopify uses them to organize storefront search results, to fill collections automatically, and to filter menu links. The connector adds its tags in a Prefix_Value pattern, see What tags does the connector add to my products? for the full list.

We recommend leaving this on Connector-Created Only. Choose Manage All only if the catalog is your only source of tags, or Manage None if you or another app owns tagging.

  • Connector-Created Only tags (default — recommended)

    The connector manages only the tags it created. Tags you added by hand, and tags created by other third-party applications, are not affected. The connector creates, updates, and deletes its own tags based on our product data feeds.

  • Manage All tags

    ⚠️ This replaces the tags on every product in your store. Tags that are not part of the Wonder catalog data are removed, including tags you added by hand and tags created by other apps. Merchandising rules, discount conditions, and collections built on those tags will stop matching.

    The Wonder catalog data becomes the complete definition of your product tags. The connector creates, updates, and deletes tags on all products in your store — including products that did not come from Wonder.

    Choose this only if your store carries Wonder products only and all of your tagging comes from the catalog.

  • Manage None tags

    Choose this option if you own tagging, you maintain your own taxonomy, or another app manages tags in your store.

    Tags are not managed by this connector. Product data still syncs; tags are left entirely alone, including any the connector applied before you switched.

    ⚠️ If you set tags to Manage None, set Collection Management to Manage None too. The connector fills its collections by matching its own tags. Without them, new products sync but never join a collection; and because existing products keep their tags, the collections look fine while going stale.

    Note: Wonder tags also feed storefront search. If nothing replaces them, shoppers searching catalog terms may not find the products.


Collection Management

Collections are how products are grouped on your storefront (what your navigation menus, category pages, and links point at).

We recommend leaving this on Connector-Created Only. Choose Manage None if you own your store's structure, or Manage All if the catalog should be the only source of collections.

  • Connector-Created Only collections (default — recommended)

    The connector manages only the collections it built from the catalog. Collections you created, and collections created by other third-party applications, are not affected. You can still build your own collections and add Wonder products to them.

    The connector builds these from your catalog categories and keeps them filled automatically. See Which collections does the connector create? and Do I have to add products to the connector's collections? for the detail.


  • Manage All collections

    ⚠️ With Manage All, the catalog decides which collections exist. Any collection that isn't part of it is removed — including ones you built for merchandising or promotions that hold none of our products. Navigation menus, banners, ads, emails, and search results pointing at a removed collection will break, and it cannot be undone from Wonder.

    Every collection in your store is managed by Wonder. Collections that match the catalog are created and updated from the category path assigned to each product. Collections that aren't part of that structure are removed — regardless of who created them or what is inside them.

    When you select this option, a confirmation dialog appears:


    Choose this if you want the Wondersign catalog to define your storefront structure.

    You can still have groupings of your own. Build them as custom categories in Wonder (under Content → Categories) rather than as collections in Shopify, and the connector will create and maintain the matching collection for you. See How to Add Custom Categories.

  • Manage None collections

    Choose this if you want to organize the storefront your own way.

    Collections are not managed by this connector. Product data and tags still sync, but categorization is entirely yours.

    If the connector had already built collections before you switched, they stay in your store and stop updating. Nothing is deleted, but they will drift out of date as the catalog changes, so remove or repurpose the ones you don't want.

    How you organize from there is up to you, and it decides what to do with Product Tag Management:

    • To build collections on Wonder tags, leave Product Tag Management on Connector-Created Only so the tags keep arriving. A condition on Color_Black gives you a black furniture collection; one on Brand_New Classic gives you a brand page.

    • If your own taxonomy or another app supplies the tags you build on, set Product Tag Management to Manage None as well. The connector then syncs product data and leaves tags and collections alone.


How tag and collection settings work together

Product Tag Management and Collection Management are set separately, but the connector fills its collections by matching its own tags. Which combination you want depends on how much of the store you manage yourself.

Inventory Management

Inventory Management decides whether the connector sends stock levels to Shopify, and what it tells Shopify to do when a product runs out. The controls available to you change depending on whether Enable Inventory Levels Management is on.

The master toggle for this section. Off by default.

What the connector does

Does not manage inventory. Stock levels are not sent to Shopify, even when they are present in the feed.

On

Sends stock levels to Shopify for the products it manages, writing available inventory to your default location.

Turning it on changes the controls below: the Track quantity options are replaced by Continue selling when out of stock, and the Always override toggle appears. Track quantity is Yes throughout, since the connector is now sending levels.

Track quantity

Whether Shopify tracks SKU inventory levels for Wonder products. This control appears only while Enable Inventory Levels Management is off. When you turn levels on, the connector is already tracking quantity, so this slot is given over to Continue selling when out of stock instead.

⚠️ Track quantity set to Yes without sending levels shows products as out of stock. With Inventory Levels Management off and Track quantity on, Shopify tracks quantity but no levels arrive to fill it, so everything reads as zero. To send stock levels, turn Enable Inventory Levels Management on. To leave stock alone, set Track quantity to Unmanaged.


Always override


Full label on screen: Always override the inventory even when it's greater than the inventory in the eCommerce store. Appears only while Enable Inventory Levels Management is on.


Leave it off if you hold your own stock on top of what the feed reports, or if another system also writes inventory to Shopify. Turn it on if the feed is your only source of stock data and you want Shopify to mirror it exactly.

Writes a level only when the Wonder Inventory number is lower than the Shopify number, or when the Shopify number is zero. A higher count already in Shopify is left alone.

Writes the Wonder level whenever it is present in the feed, including when it is higher than the Shopify number.


Continue selling when out of stock

Whether customers can order an item at zero stock. Editable only while Enable Inventory Levels Management is on.

We recommend the default: No. Choose Yes if you take backorders or pre-orders and prefer to capture the sale while the item is on its way.

Note: The connector does not send expected availability dates to Shopify. The "available on {date}" messaging used in the Catalog Kiosk app is not carried through the Shopify Connector. If you select Yes, add your own messaging in Shopify to set customer expectations.


Saving your Sync Management changes

Click the green Save Changes button to apply your settings. Undo Changes, next to it, discards anything you have not saved yet.

⚠️ Saving starts a sync. The connector re-synchronizes your catalog with Shopify using the new settings as soon as you save. Depending on catalog size this can take a while, and any deletion or rebuilding described above happens during that sync.


FAQ

Which collections does the connector create?

The connector builds collections from the category path assigned to each product (one for each level). A dresser filed under Furniture > Bedroom > Dresser & Mirror appears in three collections: Furniture, Bedroom and Dresser & Mirror. Click here to see our Full Category Mapping.

Will the Connector delete the collections I already have in my website?

Only if you set Collection Management to Manage All. With that option the catalog decides which collections exist, so anything outside it is removed, including collections that hold none of our products. On the default, Connector-Created Only, the connector manages only the collections it built from the catalog categories, and your own collections are left alone.

What tags does the connector add to my products?

Most connector tags follow a Prefix_Value pattern, so you can target one kind of attribute without matching others:

The connector also applies plain tags matching the category names themselves — Furniture, Bedroom, Dresser & Mirror — along with flags such as Sold Individually. Those plain tags are what the connector's own collections match on. The prefixed tags can help you to build your own collections.

These tags are created under both Connector-Created Only and Manage All. Under Manage None the connector applies none of them.

Can I adjust inventory quantities manually in Shopify?

You can, but the connector will overwrite them. Inventory syncs one way, from Wondersign to Shopify, so any manual change lasts until the next sync. Adjust quantities in Wonder instead. Please see How to Import and Manage Local Inventory.

Which Inventory location does the connector update?

Your default location. The connector does not follow Shopify's fulfillment priority. If you change your default location, the connector moves its available quantity to the new one on the next sync.

Why can't I see the Continue selling when out of stock option?

It appears only when Enable Inventory Levels Management is on. While levels are off, that spot on the page shows the Track quantity options instead. Turn Inventory Levels Management on and Continue selling when out of stock takes its place.
