Before You Begin
Confirm the following before starting:
You are signed in to my.catalogkiosk.com using Google Chrome, the supported browser for the admin portal.
You know the SKU or product name of the item you want to price. If you don't, you can narrow your search using Manufacturer, Category, or Consumer Brand filters.
When to Use a Fixed Price
A fixed price is a price you enter by hand on one product. It applies to that product only, and any field you fix stops following your pricing rules.
Use a fixed price when:
You have a handful of items that don't share a common markup, so writing a rule for each would be slower than editing them directly.
You negotiated a specific price on one item and want it to stay exactly there.
You are correcting a single item quickly while you decide on a longer-term rule.
Use a different method instead when:
You are pricing more than roughly 20+ products. Editing them one at a time is slow, and each one becomes a separate item to maintain. Use How to Import Pricing to apply an exact price list in bulk.
The products share a common calculation. A rule keeps working as costs change; a fixed price does not. See How to Set and Manage Product Prices.
⚠️Important: fixed prices do not recalculate. Once you set a fixed price, it stays exactly where you put it. Your product cost continues to update from the manufacturer feed, but your Retail price does not follow it. If a manufacturer raises cost, your margin drops and nothing in the platform will flag it. Review your fixed-price products periodically, or use a pricing rule if you want prices to track cost automatically.
Set a Fixed Price on a Product
There are two ways to override a price:
To stop a product following pricing rules entirely, turn the Calculate using Price List Rules toggle off. That is the procedure below.
To set only your selling price by hand while List Price keeps calculating from your rule, use the Override action instead. See Override Only One Price Field.
Step 1: Open the Products page
From the top navigation menu, click Content, then select Products.
Note: You can also reach this page from the Dashboard by clicking Manage Products. The Content menu is available from anywhere in the portal, so we use it throughout our documentation.
Step 2: Find the product you want to price
Use the filter row beneath the column headers to locate the item. You can filter by SKU, Name, Category, Manufacturer, Consumer Brand, and more.
If you are not sure of the exact SKU, start with the product name and narrow it down with Manufacturer and Category.
Tip: The Origin column tells you whether an item is a Managed product (supplied by a manufacturer feed) or a custom product created by your team. Fixed pricing works on both.
Step 3: Open the product's detail page
Click the product row to open its Product Details page.
To learn what else you can change on this page, see How to Edit Product Details.
Step 4: Open the Pricing tab
In the left-hand panel, click Pricing.
This page shows all pricing information for the product: the current pricing state, the Cost, MAP, MSRP, List, and Retail values, and any Rental / Financing terms.
Troubleshooting tip: The Pricing is defined by field names the exact rule pricing this product, and the rule name is a link you can click to open it. If a product's price looks wrong, this is the fastest way to identify which rule is responsible and how many other products it affects. See Incorrect Prices on Your Kiosk or Website.
Step 5: Turn off Calculate using Price List Rules
Set the Calculate using Price List Rules toggle to OFF.
A confirmation message appears: "Do you want to manually set the price and rental rates for this product and disable the current rule-based calculations?"
Click Yes to continue.
Note: The confirmation includes a Do not show this again checkbox. If you or a colleague has checked it previously, the message will not appear and the override applies immediately.
Step 6: Enter your List and Retail prices
Pricing is defined by now reads Fixed Prices, and the List and Retail fields become editable.
Retail Price is the selling price your shoppers see.
List Price is the optional "compare-to" price. Always make sure it is higher than the Retail Price, or the comparison will not display correctly.
If you don't use List Price in your store, you can leave the field empty.
Both fields can be left empty. What shoppers see then depends on your account's display settings. The product may appear without a price, or may not appear at all. See How to Hide or Show $0 Priced Items.
Step 7: Save your changes
Click Save Changes. The option is located in the top right corner.
Override Only One Price Field
If you want to set your selling price by hand but keep List Price calculating from your pricing rule, override a single field instead of turning the toggle off.
On the product's Pricing tab, click Override in the Actions column on the row you want to fix (either List or Retail). Enter your value and click Save Changes.
The Calculate using Price List Rules toggle now reads ON (partially overridden), and Pricing is defined by shows both the rule name and Fixed Prices.
If you override both List and Retail this way, the toggle switches to OFF automatically and the product moves to the full Fixed Prices state.
Important Considerations
⚠️Promotional Pricing does not apply to fixed-price products. A scheduled promotion will not discount a product with a fixed price. If you want an item to be included in a sale, revert it to dynamic
⚠️MAP protection does not apply to fixed prices. The Prevent prices lower than MAP safeguard is part of your pricing rule.
☝️Cost cannot be edited on managed feed products. You can fix the price of a managed feed product, but the Cost value comes from the manufacturer and is not editable at the account level, in either state. If a cost is genuinely wrong, contact support, see Incorrect Prices on Your Kiosk or Website.
What Happens After You Save Changes
The fixed price applies to the product immediately in the admin portal.
The product no longer follows any pricing rule for the fields you fixed, including rules you create later. A new rule will not move a fixed-price product.
Updated prices appear on your kiosks after the next scheduled sync.
For an immediate update, click Devices in the top navigation, then Sync all devices. See How to Manually Update Devices to Reflect Changes Made in the CAM.
For connected websites, use Sync to E-Commerce Now to push the change to your store.
If the new price doesn't appear after syncing, return to the product's Pricing tab and confirm the change was saved. If it looks correct in the portal but still isn't showing, contact support.
How to Revert to Dynamic Pricing
You can undo a fixed price at three different scopes.
Scope | How | Where |
One price field | Click Reset to Dynamic Pricing in the Actions column | Product → Pricing tab |
One product | Set Calculate using Price List Rules back to ON | Product → Pricing tab |
Every product in your account | Click Clear All Fixed Prices | Content → Prices → Manage Pricing Rules → Advanced Settings |
Once reverted, the product returns to whichever pricing rule matches it.
For the account-wide reset, including how to export your current prices as a backup first, see How Do I Delete Fixed Pricing.
FAQ
Will my fixed price change when the manufacturer updates their data?
Will my fixed price change when the manufacturer updates their data?
No. That is the purpose of a fixed price. The product's Cost will continue to update from the feed, but your List and Retail prices stay exactly as you set them. This also means your margin will shift silently if costs rise.
What's the difference between a fixed price and a pricing rule that targets a single SKU?
What's the difference between a fixed price and a pricing rule that targets a single SKU?
A rule recalculates. If you build a rule targeting one SKU with a markup, the price updates automatically as cost changes. A fixed price never changes on its own. Use a rule when you want the price maintained; use a fixed price when you want it locked.
I need to set exact prices on a long list of products. Is there a faster way?
I need to set exact prices on a long list of products. Is there a faster way?
Yes. Use the CSV importer to apply fixed prices in bulk. See How to Import Pricing. Imported prices and manually set prices are the same thing, both are stored as Fixed Prices and both are cleared by Clear All Fixed Prices.
How do I find all the products that currently have fixed prices?
How do I find all the products that currently have fixed prices?
On the Products page, click Columns (above the list, below the New Product button) and check Pricing Rule. A Pricing Rule column and filter appear.
Use the filter dropdown to select Fixed Prices (both price fields overridden) or Mixed Prices (one field overridden). You can combine this with the Manufacturer, Category, and other filters to narrow the list further, and the column stays enabled for future visits.
